Booking terms& conditions of Sherpa Heritage Trails Pvt. Ltd.

The tours described on this website are operated by Sherpa Heritage Trails Pvt. Ltd, Kathmandu, Nepal. The following booking conditions apply to all the tours.

BOOKING:
We prefer to have the booking confirmed in advance, prior to Nepal’s arrival. Pre-booking is kept on high priority and it gives us enough time to make all the necessary arrangements for the tour.

A 25% deposit of the total tour cost is to be paid per booking per person. The booking deposit can be made by bank transfer, Western Union, IME, Moneygram, WorldRemit or credit card (Visa or Mastercard). Be informed that your deposit by credit card or debit card will deduct a 4,5% bank service charge.

The remaining amount must be paid before your arrival to Nepal or upon your arrival in Kathmandu, before your tour departure.

 In Nepal you can pay the remaining amount preferably in cash US dollar or Euro (or agreed currency); no payments in rupee. With credit cards only ATM cash withdrawals are possible.

In the case of tailor-made tours to neighbouring countries, tent trekkings or expeditions, you may require a higher deposit, or full payment during booking. In such cases, you will be advised by Sherpa Heritage Trails of the amount to be paid.

CANCELLATION:
In case of a tour cancellation by Sherpa Heritage Trails, we will notify you at earliest and an alternative tour of a similar standard will be offered to you. If this is not acceptable, we will refund you the 100% tour deposit you have made. We cannot be held liable for any loss or damages incurred, and any claims due to any cancellation on any account.

In case of tour cancellation by the client:
– Cancellation prior to 35 days of the tour date; 25% of the trip deposit is non-refundable.
-Cancellation prior to 25 days of the tour date; 50% of the trip deposit is non-refundable.
-Cancellation prior to 15 days of the tour date; 60% of the trip deposit is non-refundable.
-Cancellation prior to 7 days of the tour date; the whole amount of the trip deposit is non-refundable.

In case you have to cancel due to illness, or other personal circumstances, we will send you a personal offer by email. In this offer, we want to give you a chance to complete your booked tour in a later period.

If the domestic flight or drive is cancelled or delayed due to poor weather conditions or technical reasons then we cannot take responsibility, however, we will be at our best to any alternation.

INSURANCE:
To take part in one of our tours, you must be covered by adequate insurance for the complete duration of your trip. It is your responsibility to ensure that your insurance is adequate for the particular needs of you and your party. We reserve the right to cancel your booking at any time before departure if we are not satisfied that adequate insurance is in place for you.

Your insurance must include coverage for medical expenses, injury, death, cost of repatriation and helicopter evacuation. An emergency medical rescue or evacuation, from you during a tour, can be done either by foot, helicopter or otherwise. The responsibility for the payment of the costs for rescue or evacuation will lie with you, and payment must be completed before leaving Nepal. Any subsequent costs for expenses such as hotels, food, transport etc. have to be paid by you.

All baggage and personal effects are at all times at your own risk. We will not be responsible for any loss, damage or accident to any luggage and property, howsoever incurred. You are advised to check the limitations of your insurance policy in this respect.

HEALTH AND RISKS:
Good health and physical fitness is required on all tours, travel, trekking, peak climbing and expedition. Any illness or disability must be declared on confirmation of booking; this information will be shared with your guide to ensure your safety. Even failure to mention any such condition that might result in the cancellation of your tour, you will need to bear cancellation charges on your own.

During the course of the tour, certain risks and dangers may occur. We are not responsible for any changes in the itinerary due to unavoidable circumstances beyond our control. This includes government restrictions, landslides, road blockages, floods, bad weather, political unrest, sickness or accident. If the tour is cut short or breaks in between due to a natural disaster then the cost is not refundable once paid.

Our guide reserves the right to refuse to continue to carry any passenger(s) causing inconvenience or annoyance to other travellers/trekkers, or creating difficulties that would hamper the smooth running of a tour.

PASSPORT AND VISA:
You must have a valid passport with at least six months of validity from the return date. A Nepalese visa can be obtained from the Nepalese Embassies or Consulate in your country or upon arrival at Kathmandu International Airport. However, there are listed countries that need to apply for Visa in their own country. Obtaining your visa is entirely your responsibility.

Full and correct passport information is required when a booking is submitted to us in order that we can obtain the necessary permits, fees and tickets on your behalf. If you do not supply the appropriate and correct information when you make your booking, we will not be able to make the necessary bookings on your behalf and cannot be held responsible.

ACCEPTING THESE TERMS AND CONDITIONS:
When you agree by email to your booking, you (and any other person on whose behalf you book) agree to accept all these terms and conditions. You acknowledge that you have read the Booking Terms and Conditions, and you warrant that the information given by you on the booking form is complete and true.
